GRO is designed around trust. This policy explains what personal information we collect, why we use it and the choices you have.

2. Information we collect

Information you give us

  • Your name, email address, mobile number and postcode area.
  • Your renting status, optional monthly rent and the outcome you would most like GRO to help with.
  • Your email and SMS communication choices.
  • Information you include when you contact us or enquire about a partnership.

Information collected when you use the site

  • Basic technical and security information, such as browser or device information, IP-derived request data and timestamps.
  • Referral and campaign information, including the page you visited, referrer and UTM campaign fields.

We do not ask for bank details, payment credentials or full residential addresses through the current early-access form.

Where we rely on legitimate interests, those interests include operating a secure GRO programme, understanding demand and providing a useful renter service. We balance those interests against your rights and expectations.

4. Marketing and launch communications

We send promotional email or text messages to individuals only where we have a valid permission or another lawful route. The marketing email and launch SMS choices on our form are separate and optional.

You can withdraw consent at any time by using an unsubscribe option in a message or emailing hello@joingro.io. Withdrawing consent does not affect processing already carried out lawfully. We may keep a minimal suppression record so we can respect your choice.

We may still send essential, non-marketing messages connected with a request you make, such as confirming your early-access registration.

5. Who we share information with

We may share information only where necessary with:

  • hosting, database, security, analytics and communications providers acting for us;
  • professional advisers, auditors and insurers;
  • regulators, courts, law-enforcement bodies or other authorities where required; and
  • a buyer, investor or successor if our business is reorganised, subject to appropriate confidentiality and data-protection safeguards.

We do not sell your personal information. We do not share early-access data with landlords, letting agents, credit reference agencies or marketplace partners for their own use unless we first explain the arrangement and have a lawful basis.

6. International transfers

Some service providers may process information outside the United Kingdom. Where that happens, we use an appropriate safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, together with relevant security measures.

7. How long we keep information

We keep early-access registration information while the programme is active and normally for no longer than 24 months after your last meaningful interaction with GRO. We may keep information for longer where necessary to meet a legal obligation, resolve a dispute, prevent misuse or maintain a suppression record.

When information is no longer required, we delete or anonymise it securely.

8. How we protect information

We use proportionate organisational and technical measures intended to protect personal information against unauthorised access, alteration, disclosure or loss. Access is limited to people and providers that need it for an authorised purpose. No online service can promise absolute security, but we review safeguards as GRO services evolve.

9. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • correct inaccurate or incomplete information;
  • ask us to delete or restrict the use of information;
  • object to processing based on legitimate interests, including an absolute right to object to direct marketing;
  • receive certain information in a portable format; and
  • withdraw consent at any time where processing relies on consent.

To exercise a right, email hello@joingro.io. We may need to verify your identity. These rights can be subject to legal limits and exemptions.

10. Open Banking, rent and credit-reporting data

GRO provides access to its services in stages. Depending on the service available to you and the choices you make, GRO may use Open Banking account information and rent-payment data to identify and verify eligible rent, build a rental record, support rent reporting and credit-building features, calculate eligible GRO Rewards or create a GRO Rent Passport.

GRO will not ask you to disclose your online-banking password or security credentials. Before you connect an account or activate one of these services, we will identify the relevant provider, explain the information involved, why it is needed, the applicable lawful basis, retention period and your available controls.

We will only share eligible rent-payment information with a credit reference agency or another product partner where the relevant service is available to you, we have given you the required information and we have a lawful basis to do so. Rent reporting may support your credit history and credit score over time, but a particular score improvement is not guaranteed.

The public website does not make solely automated decisions that produce legal or similarly significant effects. If GRO introduces such processing within a service, we will explain how it works and the rights available to you before it applies.

11. Cookies and similar technologies

We do not currently use non-essential advertising cookies on this early-access site. The site or its infrastructure may use strictly necessary technologies for security, delivery and core functionality. If we introduce optional analytics or advertising technologies, we will update this notice and provide a consent choice where required.

Children

GRO's early-access service is intended for people aged 18 or over. Please do not submit information if you are under 18.

We may update this policy as GRO services evolve or legal requirements change. The latest version will appear here with a revised update date. Where a change materially affects how we use existing information, we will take reasonable steps to bring it to your attention.
